Selecting the right esourcing platform is crucial for any firm looking to cut costs and speed up its procurement process. However, choosing the wrong platform may lead to a loss of money, time and resources. The following are the top 10 errors to stay away from while choosing an e-sourcing platform:

    Table of Contents

    • 1.     Not Defining Clear Requirements
    • 2.     Focusing only on Cost
    • 3.     Not Involving Stakeholders
    • 4.     Ignoring Integration Needs
    • 5.     Not Evaluating Usability and User Experience
    • 6.     Dependency on Demo Only
    • 7.     Ignoring Customization Needs
    • 8.     Neglecting Compliance and Security
    • 9.     Not Assessing Support and Training
    • 10.  Hurrying the Choosing Procedure
    • Conclusion

    1.     Not Defining Clear Requirements

Companies need to define their criteria for procurement prior to embarking on the process of procuring an eSourcing platform. To achieve this, the necessary criteria must be identified before selecting an eSourcing platform. This involves identifying the key problems and pain points in current procurement process that need to be addressed.

Organizations should know what they need, such as supplier relationship management, cost analysis and purchase order administration among others. Organizations should also define metrics for provider evaluation, such as interoperability with other internal systems integration customization possibilities security and compliance measures provided by support team.

    2.     Focusing only on Cost

Other considerations may be the price of licensing or initial purchase offered by different providers when selecting an eSourcing platform. Price, of course, is significant but focusing merely on the initial investment often amounts to a mistake. It is imperative to evaluate the cost of ownership during platform use.

This includes costs other than the buying price, which include installation cost, integration cost, customization cost training and maintenance support. As a result of large unseen costs that accrue later on, initially cheaper options often turn out to be more expensive in the long run. The best cost-effective option is achieved by comparing total costs, including the whole cost of use.

    3.     Not Involving Stakeholders

The procurement process involves many internal departments and external vendors who will be affected by the selection of an eSourcing platform. However, many businesses fail to capture this because they do not engage the relevant parties in vendor assessment and finalization stages. This does not include the comments from representatives of procurement, finance, inventory control law and suppliers.

This could result in the neglecting of key demands and choosing an unsuitable or irrelevant solution for some user groups. It is vital to get input from all stakeholders regarding their pain areas, must-have features and preferences when choosing a platform that meets the needs of all parties. The perfect organizational fit is achievable only through a collaborative selection process that involves views of various departments.

    4.     Ignoring Integration Needs

Within enterprises, procurement data is often fragmented across multiple internal systems such as ERP, financial apps and supplier portals among others. In such a case, the ability of an eSourcing platform to integrate seamlessly with these currently available core applications is crucial. By virtue of the integration features, manual processes and double entry are eliminated as a result synchronization or data is achieved.

However, integration is an important selection factor that some firms do not consider. It is also important to evaluate the ability of a potential platform to integrate web services, APIs and other technologies with key systems. When workarounds are needed, inadequate integration may nullify expected benefits such as efficiency gains. A business must know whether the platform they will choose would be compatible with their current IT infrastructure.

    5.     Not Evaluating Usability and User Experience

A poor user interface can negatively influence adoption and productivity of an e-sourcing platform. Ensure that the solution is user-friendly for all categories of users, such as suppliers and procurement. Consider factors such as customizable dashboards and reports, mobile compatibility, and easy-to-use workflows. A user-friendly platform ensures efficiency and cost reduction goals.

    6.     Dependency on Demo Only

Demonstrations of products are useful in giving a general idea, but they only accentuate some points. First of all, it is misleading to judge a complex procurement platform only by demos. For real-world implementation issues, contact client references and read online reviews. Analyze the platforms used by businesses that are comparable to yours in terms of size and industry. It is also important to carry out practical tests before final selection.

    7.     Ignoring Customization Needs

However, standard eSourcing systems may fail to satisfy compliance regulations or unique business practices. Identify the level of customization and configuration that each provider offers. Confirm if they can change approval rules, reports, catalogues processes or you will be restricted by their templates. The right fit may provide an appropriate compromise between flexibility and user-friendliness.

    8.     Neglecting Compliance and Security

Security is an important factor in the selection process because supplier contacts and procurement data are done over the Internet. Make sure that the platform is secure, safe and audited regularly by third party. Also, check if they comply with data protection laws including privacy issues that are relevant to your country and industry. It is impossible to compromise appropriate security measures for any technology that is procured.

    9.     Not Assessing Support and Training

If you cannot be helped to correct issues, the best platform is worthless. Think of support options such as response times, online help and expertise resources, training and onboarding assistance. Check whether they have regular rollouts of new features, fixes and upgrades. Timely and comprehensive support helps build confidence in your long-term ability to maximize ROI.

    10.  Hurrying the Choosing Procedure

Due diligence is a time-consuming process but it’s worth the effort. Do not rush into a decision without giving it due consideration. Allow sufficient time for understanding the criteria, reducing selections, evaluating demos, reading reviews and references as well as engaging in practical trials. Quick decision making often leads to the feeling of regrets on the way. A carefully considered selection guarantees best fit and value.

    Conclusion

Apart from pricing, other factors have to be taken into account when choosing the best eSourcing platform or even RFP software. In order to make the best long-term decision, one must spend enough time and effort in understanding exactly what it is that you need; carefully evaluating your options while consulting everyone who could be affected by them. If you can avoid the common mistakes listed below, there is a better chance of achieving success when an appropriate digital solution has been used to simplify procurement processes.
